Administration SpecialistLocation: Laredo, TX 78041Company: Radiant Global Logistics IncPosition Type: Full Time (On-Site)Salary Range: $14.00 - $16.50 HourlyPosition SummaryThe Administration Specialist serves as a foundational member of the Laredo operations team, responsible for maintaining accurate data records within the Radiant system while delivering timely and professional communication to clients, vendors, and internal colleagues. This role balances precision-driven management with proactive customer services, ensuring that shipment information, documentation, and client inquiries are handled efficiently and in full alignment with company standards.The administration Specialist is expected to exercise strong attention to detail, demonstrate initiative in identifying and resolving discrepancies, and maintain a consistently professional demeanor across all interactions. The ideal candidate is organized, bilingual, and comfortable working in a fast-paced logistics environment where priorities may shift based on operational demands.Please note: job duties may be added or modified at any time based on operational and business requirements.Key ResponsibilitiesData Entry & Records ManagementCompile, verify, and sort source data for accurate entry into the Radiant system in accordance with established procedures.Review data for deficiencies, errors, or inconsistencies; correct incompatibilities and validate output to ensure data integrity.Create, maintain, and update spreadsheets containing large volumes of data, applying appropriate Excel formulas and formatting.Organize and maintain physical and electronic records in compliance with company document retention policies.Client & Vendor CommunicationMaintain open lines of communication with clients, vendors, and co-workers to support smooth day-to-day operations.Respond to client requests for information in a timely, accurate, and professional manner, serving as a reliable point of contact.Coordinate with internal departments and external partners to resolve documentation or shipment discrepancies as they arise.Assist in preparing routing correspondence, reports, and summaries as directed by management.Compliance & StandardsAdhere to all company policies, procedures, and guidelines including the Code of Conduct, attendance requirements, and assigned work schedules.Ensure continuity of work responsibilities when absent by coordinating coverage with the appropriate team members or supervisors.QualificationsEducationHigh School Diploma or equivalent required.Skills & CompetenciesHigh energy with the ability to maintain productivity and accuracy in a fast-paced work environment.Demonstrated ability to work under pressure and manage multiple priorities simultaneously.Strong verbal and written communication skills; ability to interact professional with internal and external contacts.Bilingual in English and Spanish (preferred).Extensive proficiency in Microsoft Office Suite, with particular emphasis on Excel, including formulas, data sorting, filtering, and formatting.Strong customer service orientation with awareness of the needs of both internal and external stakeholders.Availability to maintain a flexible schedule in support of operational requirements.Basic knowledge of logistics terminology and freight forwarding processes (preferred).Strong organizational skills with attention to detail and commitment to data accuracy.Work ScheduleStandard working hours of 8 hours per day with required meal and rest breaks in accordance with applicable labor regulations.Consistent punctuality and readiness to perform assigned duties at the start of each shift are expected.Work Environment & Physical DemandsClimate-controlled office environment with a usually moderate noise level.Regular use of computers, standard office equipment, and logistics management software systems.Regular physical activities including walking, sitting, using hands for handling or feeling, keyboarding, reaching, talking, and hearing.Specific vision requirements include close vision, distance vision, peripheral vision, and the ability to adjust focus.Language & Mathematical SkillsAbility to read and interpret documents, spreadsheets, emails, and instructions.Ability to write routine reports and professional correspondence.Ability to speak clearly and effectively with both internal and external contacts.Ability to perform basic arithmetic operations (addition, subtraction, multiplication, division) using whole numbers, fractions, and decimals across various units of measure.Compensation & BenefitsSalary Range: $14.00 - $16.50 per hourStarting pay is based on multiple factors, including but not limited to education, work experience, skills, and job-related knowledge.
