An independent sports marketing agency that has been in business for over 20 years is looking for an Executive Assistant to support the Founder/CEO. The agency has major, well-known clients at the intersection of sport, culture, and business. The office is in Fulton Market, has 150 employees, and has been recognized as one of the city's "Coolest Offices." The environment is creative and collaborative. The current EA has been in the role for 10 years. The role is hybrid: 4 days in office, 1 day remote can also work remotely when the CEO travels.
About the Job:
Coordinate and prioritize meetings for the CEO
Prepare briefing materials
Manage confidential communications
Drive project management initiatives end-to-end (timelines, stakeholders, budgets, deliverables)
Oversee office operations, including facilities, vendors, systems/processes, and team coordination
Plan team-building activities
Event planning: high-profile events (full-cycle planning, logistics, on-site execution, and follow-up).
Deliver concierge-style services for clients, celebrities, and VIPs, including luxury travel/hospitality, personalized arrangements, and relationship management
Assist in the personal arena with personal appointments, multi-property coordination, and lifestyle management
Vet and prioritize the CEOs emails
Maintain a busy calendar across time zones and prioritize on CEOs behalf
Compose and prepare confidential correspondence
Coordinate complex travel arrangements and create itineraries-domestic and internationally-flights, hotels and create itineraries
Process expense reports
Some off-hour availability required
About You:
Minimum of 8 years of experience supporting a CEO, Founder, UHNW individual or Family Office
Sports and/or entertainment industry background a plus
BA/BS from a college or university a plus
Excellent Microsoft Office skills (Word, Excel, PowerPoint and Outlook)
Strong communication skills: written and verbal
Strategic thinker
Understand the importance of confidentiality and trust when supporting a CEO
Dynamic and proactive comfortable in a fast-paced environment.
Polished, professional demeanor and the gravitas to interact with high-level executives
