Be the main point of contact for clients after they hire us
Keep cases on track with deadlines, hearings, and filings
Draft routine motions and handle day-to-day court logistics

Compensation:$50,000 - $75,000 yearly
As a Case Manager, you will be the operational backbone of a criminal-defense "pod," working closely with attorneys and legal assistants to move cases from hire to resolution. You will:
Own client communication
Serve as the primary post-hire point of contact for clients and their families
Provide regular "case update" communications, explain next steps, and reduce anxiety
Return client calls, emails, and texts the same business day whenever possible
Monitor court and keep cases moving
Track court dates, hearings, and deadlines
Monitor court Zoom sessions when attorneys are not yet on and alert them as needed
Review dockets for new events, orders, or potential issues and update the file
Handle probation and pretrial issues
Triage probation/pretrial violation concerns
Communicate with probation/pretrial officers when appropriate
Coordinate with the attorney on motions to modify conditions, address violations, or set bond
Draft routine legal documents
Prepare routine motions using templates and AI tools (with attorney oversight where needed).
Draft waivers of prosecution and indigent-for-costs motions
Run Kick-Off Calls and organize the file
Schedule and lead Kick-Off Calls for new clients within firm timelines
Confirm facts, expectations, and immediate next steps
Ensure the case-management system (Salesforce) is up to date with notes, documents, and tasks
Drive mitigation and post-disposition work
Coordinate collection of character letters, treatment records, and evaluations
Help build mitigation packets for plea or sentencing
Track post-disposition obligations like classes, treatment, and probation; identify opportunities for early termination
Manage subpoenas, discovery, and trial prep
Prepare and mail subpoenas and discovery, including to clients in custody
Track responses and follow up on outstanding subpoenas and discovery
Assist with trial preparation, including building and maintaining trial binders
Lead and develop your legal assistant team
Supervise and mentor legal assistants
Delegate tasks clearly and hold the team accountable to deadlines and quality
Use technology & AI responsibly
Use AI tools (within firm policy) for first-pass case law research, discovery summaries, and drafting
Maintain confidentiality and verify accuracy of AI-assisted work
Act as an in-house notary
Notarize documents and maintain notary logs in compliance with Florida law
This person must have excellent time management skills in addition to the following:
Minimum 3+ years of legal experience in a law firm or court environment (required)
Prior experience as a Case Manager, Senior Legal Assistant, or Paralegal preferred
Criminal-defense experience strongly preferred
Florida Notary Public (or ability to obtain within 60 days of hire)
High school diploma required
Proven ability to manage deadlines and multiple priorities in a fast-paced environment
Comfortable with case-management software and video platforms (Salesforce experience preferred)
Tech-savvy and open to using AI tools, with good judgment about verification and confidentiality
Bilingual English/Spanish strongly preferred
Reliable transportation to travel between our Fort Lauderdale and Boca Raton offices
Strong customer service skills with a genuine desire to help people in need. You must love criminal defense
A strong-minded person who can handle coaching in a fast-paced environment
Ability to handle sensitive situations in a professional, confidential, and courteous manner
A curiosity to learn things quickly and always strive to be better
Strong understanding of legal terminology, procedures, and documentation
